PMO Facilities Management & Real Estate

Role and Responsibilities:

Supporting the Real Estate & Facilities Management team in managing real estate projects, FM operations, and continuous improvement initiatives. The PMO ensures process consistency, risk management, document quality, and operational performance of FM services.

Project Controls & Delivery Support 

• Development, updating, and monitoring of real estate and facilities management project schedules (works, renovations, space planning, major maintenance).
• Coordination of stakeholders: FM, Real Estate, HSE, and IT teams, external service providers, and property managers.
• Structured monitoring of actions, risks, incidents, and decisions related to FM operations and real estate projects.
• Preparation of operational reports: FM performance, SLAs/KPIs, project progress, costs, and compliance.
• Consolidation and analysis of FM data (maintenance, energy, space utilization, and supplier performance).
• Facilitation of operational meetings: FM committees, project committees, and supplier reviews.
• Contribution to FM governance: contractual compliance, budget monitoring, and adherence to internal standards.

Document Management & Governance

• Organization and administration of the FM/RE document repository: contracts, plans, as-built documentation, audits, certifications, procedures.
• Management of access rights and confidentiality (technical, real estate, and regulatory documents).
• Implementation of standardized filing structures and naming conventions adapted to FM environments.
• Management of regulatory archiving: maintenance, fire safety, building compliance, and mandatory inspections.
• Standardization of FM templates: incident reports, maintenance sheets, checklists, and supplier reports.

PMO Methodology & Continuous Improvement

• Deployment of the PMO methodology framework within the FM and Real Estate teams.
• Implementation and promotion of best practices in FM governance: contract management, supplier performance, and regulatory compliance.
• Analysis of existing FM processes (maintenance, occupant services, space management) and formulation of improvement recommendations.
• Support and coaching of FM teams in adopting PMO standards and management tools.
• Contribution to the operational maturity of the Real Estate & FM department.

Rôle et responsabilités :

Soutenir la direction Real Estate & Facilities Management dans le pilotage des projets immobiliers, des opérations FM et des initiatives d’amélioration continue. • Élaboration, mise à jour et suivi des plannings projets immobiliers et Facilities Management (travaux, rénovations, space planning, maintenance majeure).
• Coordination des stakeholders : équipes FM, Real Estate, HSE, IT, prestataires externes, Property Managers.
• Suivi structuré des actions, risques, incidents, décisions liés aux opérations FM et aux projets immobiliers.
• Préparation des reportings opérationnels : performance FM, SLA/KPI, avancement des projets, coûts, conformité.
• Consolidation et analyse des données FM (maintenance, énergie, space utilization, performance fournisseurs).
• Animation des réunions opérationnelles : comités FM, comités projets, revues fournisseurs.
• Contribution à la gouvernance FM : conformité contractuelle, suivi budgétaire, respect des standards internes.

Gestion documentaire & Gouvernance

• Organisation et administration du référentiel documentaire FM/RE : contrats, plans, DOE, audits, certifications, procédures.
• Gestion des droits d’accès et de la confidentialité (documents techniques, immobiliers, réglementaires).
• Mise en place de structures de classement normalisées et conventions de nommage adaptées aux environnements FM.
• Gestion de l’archivage réglementaire : maintenance, sécurité incendie, conformité bâtiment, inspections obligatoires.
• Standardisation des templates FM : rapports d’incidents, fiches de maintenance, checklists, rapports fournisseurs.

PMO Methodology & Continuous Improvement 

• Déploiement du cadre méthodologique PMO au sein des équipes FM et Real Estate.
• Mise en œuvre et promotion des bonnes pratiques de gouvernance FM : gestion contractuelle, performance fournisseurs, conformité réglementaire.
• Analyse des processus FM existants (maintenance, services aux occupants, gestion des espaces) et formulation de recommandations d’amélioration.
• Accompagnement et coaching des équipes FM dans l’adoption des standards PMO et des outils de pilotage.
• Contribution à la montée en maturité opérationnelle du département Real Estate & FM.

Required Qualifications:

• Knowledge of Facilities Management, Real Estate, Maintenance, and Occupant Services environments.
• Proficiency in planning tools (MS Project, Primavera) and FM tools (CAFM/IWMS such as Archibus, Planon, Maximo).
• Understanding of building regulations (fire safety, inspections, compliance).
• Skills in data analysis, FM KPIs, and supplier performance.
• Proficiency in document management systems (EDMS).
• Fluent English required.
